This Privacy Policy describes how WENTZEL.AI (“we”, “us”, or “our”) collects, uses, and shares information when you use the Documind platform and related services (collectively, the “Service”).

1. Information We Collect

Account Information

When you create an account we collect your name, email address, and authentication credentials. If you sign in through Google or GitHub OAuth, we receive the profile information those providers share (name, email, and avatar).

Content & Documentation

To power your AI support agents, you may upload or connect documentation sources (websites, GitHub repositories, Notion workspaces, and other integrations). We store and process this content solely to provide the Service.

Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, AI query and token counts, browser type, IP address, and device information.

Cookies & Analytics

We use cookies and similar technologies to maintain sessions, remember preferences, and collect analytics. Specifically, we use:

  • Google Analytics— to understand aggregate usage patterns and improve the Service.
  • Microsoft Clarity— to capture anonymised session recordings and heatmaps for UX improvement.

You can manage cookie preferences through your browser settings. Disabling cookies may affect Service functionality.

2. How We Use Your Information

  • Provide, maintain, and improve the Service.
  • Process your documentation through Google Gemini AI to power intelligent support agents, ticket triage, and response drafting.
  • Process payments and manage subscriptions through Stripe.
  • Send transactional emails (account verification, password resets, billing receipts) via AWS SES.
  • Monitor Service health, detect abuse, and ensure security.
  • Respond to support requests and communicate product updates.

3. AI Data Processing

Your uploaded documentation and support queries are processed by Google Gemini to generate AI-powered responses. We do not use your content to train our own models or any third-party models. AI outputs are generated in real time and are not stored beyond what is necessary to deliver the Service and maintain usage logs.

4. Data Sharing

We do not sell your personal information. We share data only with the following categories of service providers, solely to operate the Service:

  • Google (Gemini AI)— processes documentation and queries to generate AI responses.
  • Stripe— handles payment processing and subscription management.
  • Neon— hosts our serverless PostgreSQL database.
  • Vercel— hosts and delivers the application.
  • Amazon Web Services (SES)— sends transactional emails on our behalf.
  • Inngest— processes background jobs and scheduled tasks.

We may also disclose information if required by law, regulation, or legal process.

5. Data Retention

We retain your account information and content for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required for legal, billing, or fraud-prevention purposes. Aggregated, anonymised analytics data may be retained indefinitely.

6. Data Security

We implement industry-standard security measures including encrypted connections (TLS), hashed passwords, role-based access controls, and isolated project workspaces. While no system is completely secure, we are committed to protecting your data using commercially reasonable safeguards.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Export your data in a portable format.
  • Withdraw consent where processing is consent-based.
  • Object to or restrict certain processing activities.

8. Children's Privacy

The Service is not directed at individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

9. International Transfers

Your data may be processed in the United States and other countries where our service providers operate. By using the Service, you consent to the transfer of your information to these jurisdictions, which may have different data-protection laws than your country of residence.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the “Last updated” date. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
